Job opening: Executive assistant to Foreign Advisor

Duration: 12 months with possible extension

Minimum age: 25 years old. Nationals of the country only

Education level: Bachelor's or Master's degree

Knowledge of languages: Uzbek, Russian, English

Job Duties and Responsibilities:

The Role of the Executive assistant is to:

  • Provide full administrative support to the Foreign Advisor, including managing the calendar, organizing meetings, seminars, high level workshops and events and ensuring all logistics are appropriately arranged. It is important that the Assistant is proactively managing the calendar and events and following up on items for action.
  • Assist in providing advice regarding processing procedures, business processes and ensuring compliance with the regulations. Undertake basic research and data retrieval as requested by the Foreign Advisor.
  • Handle logistic requirements for meetings, learning and knowledge events, including procurements and travel arrangements.
  • As required, handle the coordination of shortlisting and interviewing of candidates, prepare binders with confidential information and maintain contact with candidates regarding their interviews and selection status.
  • Coordinate and supervise general office procedures; oversee the administrative functions of the office; update and maintain distribution lists. Maintain liaison with key stakeholders and ensure the office is on track with their requirements and timetables.
  • Prepare notes, briefs for meetings, as well as reports, presentations, analytical materials as needed.

  • Office Administration - Able to organize, prioritize, coordinate, and monitor work activities to ensure that work program is properly carried out and delivered in a timely and collaborative manner. 
  • Task Management - Able to undertake diverse and complex assignments with minimal supervision and resolve competing demands. Ability to work on multiple assignments concurrently
  • Teamwork - Demonstrated team spirit and strong desire to work in a team environment. Collaborates with other team members and contributes productively.

Versatility and adaptability - Demonstrates initiative and motivation to proactively learn new developments, is able proactively identify, prevent and/or solve problems.  

  • Technology and systems knowledge - Exhibits excellent knowledge of Microsoft Office applications and proficiency of technology or/and systems relevant to functional area. Excellent skills in MS Word, PowerPoint, Excel. 
  • Excellent written and oral communication skills.  
  • Experience in event planning and organization.
